Meeting Minutes
- Financials Review:
2016-2017 Taxes: The 2016 taxes were never filed! We found this out when we
began filing the 2017 required tax forms. We are trying to reconstruct info so
that we can comply with the tax codes. We have no idea why this was not done.
Estoppel Funds Generated: 2017-$3000.00 2018-$1390.00
Aging Report: 27 homeowners have not paid in full
23.3 % paid via Credit Card (48 Accounts)
2 accounts with attorney – both on payment plans ($8,536.00)
2 to have liens placed ASAP ($1,347.94, and $1,429.29 owed)
2 have partially paid and are on a plan
Letters have been sent to all who have not paid.
Liens to be placed on unpaid properties 4/1/2018 at owners expense
Current Financial Status: As of March 23, 2018 we have $78,558.90 in the
Operating Account and $14,949.78 in the Hurricane Recovery Account
- Possible Upgrades to the Community Areas:
Playground – Rubber mulch (already completed)
Remove and replace disintegrating equipment – the large
piece of equipment is fine. The small wooden playhouse is
falling apart. It presents a danger to children. As we are looking
at replacement equipment, the suggestion was made to put a
survey on the HOA website as to what people would like to replace it
with. Thanks for the suggestion Heba.
Restrooms – investigating cost to replace facilities at cabana
Signage – Beginning to replace outdated and worn signs
- Security Cameras:
We have purchased an inexpensive laptop ($250) to allow the Sheriff access
to the entry cameras, including recording and playback of the entrance cameras. They have requested twice in the last 2 months and we have not been able to help them out.
We have voted to replace the four outdated entrance camera/license plate system – est. of $1,774.13. This was recommended by the Sheriff’s Department.
Current cameras are not digital and can’t be zoomed enough to obtain the clear photos and information.
- Swimming pool update:
The pool is currently closed again due to equipment failure. Necessary repairs should be made this week and pool should be open soon. With the next equipment failure, we will have to consider replacing the entire system so that it will be under warranty. The Board will weigh the total of recent expenditures against replacement costs.
- Tree Removal:
Obtaining estimates for tree removal from common areas
- Violations:
Yellow hanger tags are a friendly warning
Issued to date: 30 (fencing, landscaping, trash cans, parking)
Outstanding: 7
Please Note: The Sheriff clarified the LAWN PARKING issue.
LAWN PARKING is a ticketable offense, not just by the HOA but by
the Sheriff’s Department as well.
The suggestion was made that the Board print T-shirts to be worn by volunteers
who would walk their assigned areas handing out friendly reminders on
Violations. It is a great idea if we can get some individuals to volunteer for their
immediate area. Thanks for the idea Christian.
- Community Watch Meeting Updates:

- Social Event Possibilities: Memorial Day Event or Community Garage Sale
The Board is asking the Social Committee too plan a community event. The above are a couple of ideas. Hopefully there will be more info on this in the near future.
- Architectural Review Application Reminders:
Please remember, before you make any exterior changes (paint, fences, roofing, etc.) you need to go to the HOA website: Montegobay HOA.org to obtain an ARA. This architectural review application can be dropped off in the 2505 Montego Bay Blvd. mailbox. Jim Smith will get back to you as soon as possible.
- Neighborhood Newsletter:
The HOA will be creating a neighborhood newsletter. We will not be mailing them but they will be available for pick up by resident. We will be installing a
post and brochure unit on the park fence near the HOA mailbox. We are hoping to get the first issue out in early April. It will be an evolving endeavor. Please
submit any suggestions for things to be included to Janice, Kristine, or Camille, or drop ideas in the mailbox at 2505 MBB
- New Board Volunteer:
At the end of the meeting Heba Abdelqader volunteered to join the HOA Board! Welcome Heba! We will be in contact very soon to get you up and running. Heba is an 18 year resident and resides at 4821 Kingston Circle. YAY!
