Meeting Minutes

1.      FINANCIALS:

  • Reviewed status of BCR prep. It will be posted to the website in a few days.
  • Current Bank Balances:
    Operating Account $3,709.26
    Savings Account $38,607.26
    Contingency Account $22,686.11

2.   Discussed change over from Jim Smith to Kristine Castleman as Treasurer.

  • Banking signatures changed.
  • Transference of files completed.
  • Updated Sunbiz Information completed.
  • Compare mailing list with a test email to compare (in process).
  • Voted to dispose of ancient laptop. It no longer functions.
  • Approved expenditures on updated IT equipment (Wifi router $48.35).

3.    PARK AND CABANA:

  • PARK MAINTENANCE:
    Carlos Oppenheimer has been opening the park in the AM. Thanks to Carlos.
    There are trees encroaching on our fence/wall area. Need to research responsible parties and contact them.
    Tennis net is currently down, we will be checking into reinstallation.
    Tree stump grinding was quoted at $100 per stump. Tabled currently.
    Approved expenditure to replace cabana light bulbs $18.92.
  • POOL REPAIRS/PERMIT: The County Inspector indicated that the pool deck must be repainted within the next 3 months. Bids will be obtained.
  • CAMERA DAMAGE/REPAIRS: A recent storms severely damaged the camera system. This is a potential expenditure of up to $5,000. Marah is obtaining quote to replace damaged equipment. Thanks Marah for taking care of this!

4.     VIOLATIONS:

  • New Violation Notices are being used. Thank you to the Violations Team. We have noticed improved conditions. (Report violations to the team at Montegobayviolations@gmail.com)
  • Discussed giving camera access to Violations Team. It was determined that to allow access to anyone other than Board Members would be considered a breach of privacy.
  • Discussion of Commercial Vehicles: Determined that we need to set appointment to talk with the violators directly. Discussed a potential plan to resolve the issue. This will require further research to determine if it is legal.

5.  ANNUAL MEETING: The Annual Meeting date has been set for Tuesday, November 10, 2020, at the Poinciana Fire Station #42. We will have to monitor what the COVID 19 restrictions are to determine if we may have to find a new location. Watch for updates.

6. NEWSLETTER: Marah developed and shared a new format for the newsletter. Possible topics were discussed.
